Getting Started with Studio Orders

Learn how to view and manage all orders with Blueprint.

Select Orders in the black menu bar across the top of the app to view all orders placed with the studio. This tab will let you:

  • Search, view, edit and refund all orders in Blueprint.

  • Copy a link or resend ordered ImageQuix-fulfilled digital downloads.

  • Export order information

ℹ️ This tab requires an internet connection and limits showing the latest 5000 orders.

Finding orders in Blueprint

There are three spots to view and manage orders in Blueprint:

  • Using the Orders tab

  • Using a Job's Orders tab.

  • Using the Find a Subject tool.

Using the Orders tab

From the homepage, select Orders:

You can search all orders by using a tag:

Using a Job's Orders tab

Select Orders from the dashboard or the in the job's ribbon to view the job's order table:

The table in this view will be near identical to Studio Orders - with some key differences:

  • You cannot edit the status of My Service (self-fulfilled) orders in Job Orders.

  • You cannot release orders in Studio Orders, but you can in Job Orders.

  • Different filter options are available between Job Orders and Studio Orders.

Search using the order number, subject online code, or customer name to locate an order.

Using the Find a Subject tool

From the homepage, select Find a Subject:

Enter the subject's name or online code to search across all active jobs in your account. You can also include additional subject data criteria to narrow your search. Select the desired subject from the returned list:

You'll be taken to their subject record, where you can toggle from Info to Orders to view any orders placed on the subject:

From this view, you can do thinks like:

  • Select the order number to open the invoice.

  • Select one more checkbox next to the order number icon to edit the order.

  • Create a new pre-order or full order ⚠️ Smart Workflow Feature


Using the Orders table

While the Studio Orders tab will let you view orders placed across multiple jobs in a specific date range, different features are available depending on which Table View Option and order table you're using.

Switching Table Views

Use the Table View Options button to switch between a Financials or Fulfillment view:

  • Financials: See customer info + financial details (Payment Status, Net Pay, etc.)

  • Fulfillment: See lab info + ordered services (Print Services, Image Services, Digitals)

The Financials view shows customer and bookkeeping information.
The Fulfillment view shows lab fulfillment and all service orders.

💡 One order can have multiple service orders. Be sure to review the status of each ordered service using the Fulfillment view.

Different actions become available depending on which table view you're currently using!

Using Filters

Select the filter icon to apply a filter to the orders table:

The Studio Orders table also has expanded filtering capabilities to view the order data you're interested in quickly.

Order Actions

You can select one or more orders to perform an action, but only actions applicable to all orders will be available to select. You can also "shift-click" the second the order to select all orders in-between the first and second order selected.

Different actions become available depending on which table view you're currently using!

Managing Orders

By default, placed orders automatically release to the lab unless your job settings are configured to hold order fulfillment until manual release. Orders that are held until manual release give the studio an opportunity to QA (edit) orders at the cost of automation speed. Held orders can also be bulked together and sent to the lab as a batch order.

Edit Orders

Only orders that have not been released can be edited.

Orders cannot be edited to:

  • Change the order total (add/remove products/services)

  • Change the fulfillment of the order (fulfillment method locked once order is placed)

Orders can be edited to:

  • Update the billing/shipping address.

  • Edit packages/products ordered

    • Edit pose selected.

    • Edit background selected.

    • Edit applied crop.

    • Edit applied image filter (B&W, Sepia, None)

    • Reset Image Service (for restarting/reapplying image service)

Select the checkbox next to an order number and select edit order:

Cancel Orders

There are generally two reasons why a studio would want to cancel an order:

  1. Customer requested a refund/cancel of their order that has been approved.

  2. Customer made an error with an unreleased order that cannot be corrected.

In scenario 1, refunding the order in Blueprint gives the user the option to cancel the order.

In scenario 2, reach out to the Support Team for assistance with canceling the order.

Release Orders

Orders can only be released inside of the job they were placed in.

Releasing a single order

Select the checkbox next to an order number and select release order:

You can also select and release multiple orders at once.

Releasing all orders

Select the Release All Orders button in the top-right corner. This will release all orders in the job without a release date:

Using either method, the new few prompts in the release wizard will ask the user to confirm any release options to specific to each ordered lab service - then submit them to the lab for processing. Any ordered self-fulfilled image services released will be available in the Fulfillment tab to complete before the order will appear at the lab for printing.

Export Orders

Click on the Export button to open the Export Wizard. You'll be prompted to enter a save location and choose between a single-row and multi-row export. 

Single-Row

Exports orders in one line per order. Includes the Job Name & ID, reference ID of the Packages and Products ordered, and customer information. Great for financial reports and audits.

Multi-Row

Exports orders one line per product. This is great for proofing orders in which you need the image name and which products the image is ordered on.

Perfect to import into FLOW!

The next screen lets you specify which orders to export. You can filter between specific statuses of orders (like New, Processed, or Shipped) or by Job ID, Pay Date, or a Customer's Name.

Choose the configurations desired for your export and you'll be notified when the .csv file is created.
